Introducing BWI’s New Pricing Model: More Flexibility and Better Value

At BWI, our goal is to make advanced hydrological forecasting both reliable and sustainable for companies and organisations. After three years with unchanged pricing, this first update is designed to better reflect two key aspects:

• the long-term value of virtual stations for clients, and
• the need for choices between flexibility and budget.

A new pricing structure is therefore being rolled out, combining monthly license and term licenses options, with a setup fee always, providing clear visibility on discounts.

This new model will apply to new subscriptions starting from 15 December 2025, while existing contracts will continue under their current terms – potentially indefinitely.

What stays the same

• Three existing subscription plans – Silver, Gold and Platinum – remain unchanged in terms of scope and features.
• Pricing is still based on a monthly fee per virtual station, with the same technical capabilities described on our pricing page.

What changes: flexibility vs commitment

Until now, each plan had one single price per station (e.g. €100, €300, €600 per month for Silver, Gold and Platinum).

With the new model, you can choose between:

1. Monthly license

• Maximum flexibility: if prepaid, you can cancel at any time. If not, you may commit to a fixed number of months (e.g. 9 months).
• For example, the new base monthly prices are:
  • Silver: €145 / virtual station / month
  • Gold: €435 / virtual station / month
  • Platinum: €870 / virtual station / month

2. Term licenses

• You can choose a commitment of 1 year, 3 years or 5 years – in line with the duration of your water resource management or hydrological events monitoring project. 
• In return, you benefit from optimised costs as compared to the monthly plan.

At a high level:

• 1-year license →  equivalent to 2 months offered vs. a monthly license
• 3-year license → equivalent to 11 months offered vs. a monthly license
• 5-year license → equivalent to 24 months offered vs. a monthly license

Setup fee

For all new subscriptions, a one-time setup fee is applied at the start of the contract. This fee covers training of the models on the selected sub-basins, and the onboarding of users. The goal is to ensure that forecasts reach the level of accuracy required for operational use.

This upfront work is essential to adapt BWI’s models to each river network reach and to guarantee robust river flow forecast performance from the very beginning of the subscription.

Overall, this new pricing model gives long-term users more predictable costs and a lower effective price per month, while still leaving the monthly option available for organisations requiring maximum flexibility.

A structured evaluation phase before committing

Many organisations want to try BWI services in real conditions before committing to a multi-year agreement.

With the new model, BWI is introducing a paid evaluation phase:

• You can subscribe directly to a 1-, 3- or 5-year license.
• The contract starts with an initial evaluation period, equal to one-sixth of the committed license duration (e.g. 2 months for a 1-year license, 6 months for a 3-year license), during which clients may use the river flow forecasting services, deploy virtual stations and integrate BWI data into their platforms via the BWI API.
• During this evaluation period, clients remain free to cancel the subscription at any time.
• If the subscription is cancelled during the evaluation phase, the evaluation invoice corresponds to the first-year total cost (setup fee + year-1 subscription) pro-rated to the number of months actually used.
• Once the evaluation period has ended, the licensing commitment becomes firm for the remaining duration of the contract.
• Meaning there is no more free trial, but in case of a withdrawal during the trial phase, the client’s cost covers only a fraction of the investment made by BWI.

To make this more concrete, here are a few indicative examples:

1-year license, Gold plan, 1 virtual station

• Monthly price (Gold, 1-year license): €372 / virtual station / month
• Evaluation phase: 2 months
• First-year subscription cost: 12 × €372 = €4 464
• Setup fee (example): €5 500
• First-year total cost (subscription + setup): €9 964

If the client decides to stop after 2 months of evaluation, the evaluation invoice is calculated by pro-rating the first-year total cost over the months actually used:

• Evaluation invoice = (setup fee + first-year subscription) ÷ 12 × 2. i.e. €9 964 ÷ 12 × 2 ≈ €1 661

In this case, the client pays approximately €1 661 for the evaluation phase (covering a part of the setup work and the 2 months of service used).

3-year license, Silver plan, 2 virtual stations

• Monthly price (Silver, 3-year license): €104 / virtual station / month
• Evaluation phase: 6 months
• First-year subscription cost: 12 × 2 × €104 = €2 496
• Setup fee (example): €9 000
• First-year total cost (subscription + setup): €11 496

If the client decides to stop after 4 months of evaluation, the same pro-rating logic applies:

• Evaluation invoice = (setup fee + first-year subscription) ÷ 12 × 4. i.e. €11 496 ÷ 12 × 4 = €3 832

In this scenario, the client pays €3 832 for the evaluation phase, corresponding to the setup and the 4 months of service actually used.

This approach is designed to reduce risk for our clients while recognising and rewarding the long-term partnerships BWI wants to develop.

What this means for existing clients

If you are already a BWI client:

• Your current contract and pricing remain unchanged,
• At renewal, you will continue to benefit from the pricing conditions as in your existing contract,
• If you want to benefit from the optimised costs unveiled by this new price list instead of sticking to your historical contract, of course this is possible! Kindly get in touch with your dedicated salesperson.

Choosing the right option for your organisation

In summary:

• Choose monthly if you need maximum flexibility, are in an exploratory phase or have short-term needs (e.g. construction project, engineering mission…).
• Choose 1-, 3- or 5-year licenses to align with your internal programs roadmap to benefit from lower and transparent budget over the span of your financing horizon or of your program duration.
